Trade Show and Event Coordinator - InHealth Technologies

Your tasks

  • Works closely with the U.S. and International Sales teams, Clinical team and Marketing team to organize and manage trade show events, professional meetings, product presentations and marketing collateral.
  • Leads communication to all internal teams on trade show logistics, event calendar and post-show results.
  • Hosts and coordinates pre-show and post-show meetings with a focus on planning and process improvement.
  • Communicates, coordinates and negotiates with vendors to secure marketing and trade show support to ensure low cost, high quality products and services.
  • Coordinates all aspects of IHT global tradeshows and events within allotted budget, including but not limited to:
    • Develops and plans on-site elements including venue procurement, staffing needs and implementation of event plans.
    • Determines appropriate equipment and products needed for exhibits, packing, shipping and procurement of necessary materials.
    • Produces event specifications while managing vendors for all aspects of events.
    • Coordinates purchase orders, show orders, invoices, check requests and all aspects of pre-event procurement and post-event reconciliation.
    • Conducts event wrap-up and post-event evaluations/ surveys, and evaluates post-show data vs. actual expenditures.
  • Organizes all aspects of literature inventory for IHT including but not limited to:
    • Maintaining, reordering, and updating catalogs, pricelists, brochures, flyers, white papers, promotional materials, etc.
    • Conducts regular inventory assessments and monitors daily usage of all IHT collateral material, promotional material and product samples.
  • Maintains and updates “Speakers Club” Memberships and Medic Alert renewals on a monthly basis.
  • Works with Marketing Management on journal ad submissions in accordance with the IHT media plan.
  • Works on Special Projects as assigned by Marketing Management.
  • Responsible for keeping the marketing room organized and stocked at all times with products and tradeshow materials.
  • Provides executive administrative support to the IHT Vice President and General Manager, Marketing Manager and consultants on an as needed basis.

Our expectations


  • B.S. or B.A. in Business, Business Administration, Marketing or related discipline.

Desired Experience:

  • Minimum 5 years’ marketing, customer service or a work history of coordination of complex schedules/activities with cross functional teams.
  • Experience in a manufacturing or customer facing environment, preferably in the medical device industry.
  • Trade show logistics and/ or event planning experience preferred.

Required Knowledge:

  • Microsoft Office Suite (Excel, Word, Power Point, Outlook), Internet Explorer
  • Accurate Data Entry Skills

Physical Requirements:

  • Involves sitting, standing and/or walking, with frequent ability to exert up to 20 pounds of force to move objects and occasionally exert up to 40 pounds of force to move objects.
