Your tasks

1. Job Title

Sales coordinator/ Customer & Sales Service Manager

2. Objectives

  •    The individual is responsible to improve the internal support systems and processes related to Order Processing.
  •  Objective is to improve the efficiency of the field sales team by providing proper support and feedback throughout the sales cycle.
  •  Build common vision with other internal functions like Finance, Controlling, IT and Production to make the order processing cycle simple and efficient.
  •  Contribute to data driven and fact based decision-making process.
  •  Develop Dash Boards for various KPIs.
  •  Contribute proactively to meet the monthly and yearly Sales targets.
  •  Build long term relationship with customers by taking proactive actions to improve our services
  •  Work very closely with field sales team and build high performance culture .

3. Accountability and duty

SAP ERP related:

  •  Monitor the sales order created for direct customers: The order should error free. It should be inline with the Purchase order received from the customers. Prices and taxes should match with the PO.
  •  Monitor the sample order creation: It’s critical that sample orders are created at the earliest and facilitate new business development
  •  Verify the end customer codes created by the distributors and approve the end customer list after through checking. Proper segment selection is key for our sales analysis
  •  GRN Process: Carry out GRN for the purchases done in Sales & Marketing Department at Bangalore office

Sales Management & Information Reports:

  •  Prepare the monthly report for KLM Board: Create the KLIND monthly report on monthly basis. Analyze the data and prepare charts for quick analysis and action. Around 20 parameters are derived from the Sales, Inventory and Production data obtained from ERP.
  •  Order Pattern & Dispatch pattern analysis: Do analysis of Order inflow and dispatch pattern on monthly basis and derive insights for improvements
  •  Daily Sales Report for CEO: On Daily basis send the sales report to CEO, which is shared with Sales Leadership Team of India. This report has the details like sales achieved till date, orders in hand, that can be dispatched in a given month/year. We need clearly calculate the Daily and Monthly Sales Rate required to meet the monthly and yearly sales target.
  •  Sales Performance Scorecard: Individual Sales Engineers are given a cockpit, which shows the important parameters they need to work on. Analyze the sales report and come up with visually pleasing format
  •  Develop Price Effect charts

Price Management:

  •  Monitor the prices for each transaction by using various support tools like SAP, CRM and monthly reports
  •  Take actions for revising the prices which are not generating the value

Lead Management & CRM Software:

  •  Enter the leads in CRM –software and fill the pipeline
  •  Interact with Sales Team in CRM environment and support better utilization of CRM system.
  •  Handle the product inquiries received through telephone calls and guide the customer for quick sales
  •  Receive phone calls of customer and resolve the queries

Customer Complaint Management:

  •  Document and enter the customer complaints in the system
  •  Monitor the progress and resolve the issues at the earliest

Receivable Management & Credit Notes:

  •  Closely work with Field sales team and ensure that payments are received within time
  •  Analyse the reasons for the credit note and resolve the issues

Continuous Improvements:

  •  Participation in daily dispatch meeting with Production Team to resolve issued related to dispatches
  •  Participation in Sales & Operation Planning Meeting to smoothen the order to cash process
  •  Part of Joint Team (Sales & Production) to improve the order and dispatch pattern
  •  Study the expiry material list and prepare sales plan to liquidate the same
  •  Visit Mysore Plant on regular intervals for better co-coordination
  •  Identify improvement activities in SAP system. Automate the dispatch system using SAP codes

Special Assignments

  • Actively participate in CSR activities & Company functions

4. Qualifications

  •  Preferably Engineering degree with strong preference for analysis
  •  Basic understanding of SAP Sales & Marketing module
  •  Hands on experience to generate reports using MS Excel
  •  Minimum of 3-4 years’ experience in sales, marketing, or business management
  •  Demonstrated experience with Data Analysis and reports
  •  Excellent communication skills (oral and written) and networking skills required
  •  English language mandatory.
  •  Knowledge of other Indian languages will be beneficial.
  •  Share your ideas through PowerPoint presentation
